How to Evaluate a Corporate Travel Management Platform: A Buyer's Checklist

Evaluate Corporate Travel Platform

Choosing a corporate travel management platform is a decision most teams make once every few years, which makes it easy to get wrong. This checklist walks through the criteria that actually predict whether a platform will hold up, from the first demo to a year of real usage.

Start with the booking experience

  • Can an employee complete a booking in under 5 minutes, without calling support?
  • Is the inventory real, or does it redirect to a third-party site mid-booking?
  • Does the mobile experience match the desktop experience?
  • Can bookings be changed or cancelled self-serve, or does every change need a support ticket?

Check the policy and approval controls

  • Can travel policy be set by role, department, or trip type, not just a single company-wide rule?
  • Are approvals routed automatically, with clear escalation if a manager doesn't respond?
  • Is out-of-policy spend flagged at the time of booking, not discovered afterward?

Ask about finance and reporting

  • Does every booking generate one consolidated invoice, or does finance still reconcile multiple vendor receipts?
  • Is spend visible in real time, broken down by department, employee, or cost center?
  • Does the platform integrate with the accounting or ERP system already in use?

Don't skip duty of care

  • Can HR or security see, in real time, where employees are travelling?
  • Is there a way to reach a travelling employee quickly in an emergency?
  • Does the platform flag high-risk destinations before a booking is confirmed?

Evaluate support and reliability

  • What happens when a flight is cancelled at 2am? Is there 24/7 support, or business-hours only?
  • How long does onboarding actually take, in practice, not in the sales deck?
  • What does the platform's uptime and reliability track record look like?

Think about how it scales

  • Will the pricing model still make sense at twice the current headcount?
  • Can new departments, entities, or countries be added without a re-implementation?
  • Is there a clear upgrade path as the company's travel needs get more complex?

The takeaway

The right platform isn't necessarily the one with the longest feature list. It's the one that holds up under the two moments that matter most: a fast, frustration-free booking for the employee, and clear, reliable data for finance and HR. Run any shortlist of platforms through this checklist before signing, not after.
