Hidden Fees in Corporate Travel Platforms: What Finance and HR Teams Should Ask Before Signing

By Namitha R V | Aug 26, 2026

Hidden Fees Corporate Travel

A corporate travel platform's pricing page rarely tells the whole story. The headline number is usually a per-booking fee or a flat monthly rate, and that's the number most teams compare when they're evaluating options. The fees that actually inflate a travel budget tend to sit outside that headline number entirely.

If you're evaluating a platform for your company, or reviewing the one you're already on, these are the questions worth asking before you sign anything.

Where Hidden Fees Usually Hide

  • Change and cancellation fees, on top of what the airline or hotel already charges
  • Per-user or per-seat licensing costs that scale up as headcount grows
  • Payment processing fees added on the backend, separate from the booking fee
  • Support fees for anything beyond basic self-service, like after-hours help or complex itineraries
  • Integration or setup costs for connecting the platform to your existing HR or expense systems
  • Minimum monthly spend commitments that only show up once you're locked into a contract

None of these are necessarily unreasonable on their own. The problem is when they're not disclosed upfront, and a company only discovers them once they're already using the platform and switching feels like too much friction to bother with.

Questions to Ask Before Signing

A short, direct list of questions during evaluation saves a lot of surprises later.

  • Is the quoted price the full price, or does it exclude payment processing and change fees?
  • Does the per-booking or per-user fee change as our team grows?
  • What does support cost beyond the basic tier, and what counts as basic?
  • Is there a minimum spend or contract length, and what happens if we're under it?
  • Are integration and onboarding included, or billed separately?

A platform that can answer these clearly, without redirecting to a sales call for pricing, is usually one with less to hide in the first place.

Why This Matters More for HR and Finance Together

Corporate travel spend usually sits between two teams: HR, who owns the travel policy and the employee experience, and finance, who owns the budget and the reconciliation. Hidden fees tend to surface in the gap between them, since neither team sees the full picture of what a platform actually costs until the invoices are compared against what was budgeted.

Asking these questions together, before signing, closes that gap early instead of finding it in a quarterly review.
